How do I create a new asset?
You can create a new asset by pressing the + New asset button in the asset list in the Facilities module.
First, fill in the asset code. Next, fill in the required Name attribute. Name the asset so that you can later identify which asset it is.
The asset code is a unique identifier, so it is not possible to create two assets with the same code.
If you leave the code empty, the application assigns a code automatically. The automatically generated code consists of the locality code and a sequence number.
In the next step, you can fill in the asset serial number (SN), inventory number, and if it is an aggregated asset, also the number of assets.
In some cases, it is better not to create a separate record for each asset, but to create one aggregated record for multiple assets. You can then enter the number of assets that such a record represents in the Number of assets attribute.
In the next step, select from the list of asset types the type that best matches your asset.
The application provides an extensive database of asset types. The database can be extended with additional asset types.
For some asset types, you must specify asset type options.
Based on the selected option for the asset type, the application automatically creates the correct inspection plan.
In the next step, specify which locality the asset is in. If you have access to only one locality, this locality is pre-filled and cannot be changed.
For an asset, you can specify where it is located. An asset can be assigned to a building, floor, or room (space).
For some asset types, you can specify environment features that affect the periods of planned inspections.
Next, you can specify which asset group the asset belongs to.
If an asset is connected to a group, the icon of the assigned group is displayed on the asset.
Assets can be organized hierarchically. By selecting a parent asset, you can define parent and child assets.
Next, fill in the commissioning date. This attribute is required for assets in operation.
In the next step, you can select the asset manufacturer. If the manufacturer is not in the list, you can add it.
Next, you can fill in the manufacturer's model designation.
In the next step, you can fill in the year of manufacture.
For an asset, you can record the date until which warranty conditions apply.
The application can send an email notification about an approaching warranty end to the responsible person specified for the asset.
In the next step, you can fill in the company that services the asset.
By assigning a person to the Responsible person attribute, you specify the person responsible for the asset.
By default, notifications about new maintenance work requests and upcoming inspection deadlines are sent to the person assigned to the Responsible person attribute.
By assigning a person to the Technician attribute, you specify the person in charge of maintaining the asset. (Assigning a responsible technician can also be handled through work rule settings, where assignees are automatically filled in for generated inspections/work requests. For more information, see the Work rules chapter.)
If you want to assign a QR code sticker to the asset, press the green "New" button in the QR code attribute. The system automatically generates and assigns a QR code for the asset.
If you already have your own stickers with QR codes attached to the asset, you can enter them manually in the "QR code" field in the new asset form. Just fill in the QR code value.
Finally, it is also possible to create an asset directly via QR code. In the mobile app, select global search and scan the QR code with the camera from the set of reserved codes or from an existing QR code sticker attached to the asset.
Select "+ Create new" and fill in the new asset form, where the QR code value will already be pre-filled.
You can add a new asset in the mobile app on the Assets tab via the "+" icon. In the form, you can scan the QR code using the camera icon, and it will be loaded into the form.
You can view the QR code in the application in the Facilities/Assets module on the asset detail page via the three-dot icon "Show QR code".
