Application structure
The foundation of managing building maintenance processes and their equipment is recording localities, buildings, technicians, work requests, and inspections. Individual records are divided into basic modules:
- Facilities
- Work requests
- Preventive maintenance
- Work orders
- Maps
- Analytics & reports
- Documents
Localities
The foundation of the application is recording localities. A locality is a specific area with a clearly defined address that contains individual buildings and assets. In the application, you can view data for all localities or for a single locality. Select a locality from the list to choose which locality's data you want to display.
Dashboard
The first thing a user sees after signing in is the Dashboard. The Dashboard provides a quick overview of the maintenance status of individual assets, recently completed inspections, and open work requests.
Facilities
The Facilities module is used to record buildings, spaces, and assets. Within a building, you can record individual floors and the spaces on them. The module also lets you record individual assets, such as building technical equipment, appliances, and machines. For each asset, you can specify, among other things, which building, floor, or space it is located in.
Work requests
The Work requests module is used to record maintenance work requests. Maintenance work requests can represent defects, malfunctions, and other maintenance requests.
Preventive maintenance
The Preventive maintenance module is used to record planned inspections and regular checklists of assets. Based on assigned regulations and recorded assets, the application predicts required inspections and checklists on its own. Inspections can be scheduled for a specific day and assigned in Assigned To. In the inspection plan, you can view inspections scheduled for upcoming periods. In the inspection history, you can view completed inspections.
The module also offers checklists, which let you run regular asset checks from a defined list of steps and a selected time period. If a defect is found during a checklist, a repair work request is created automatically. In the checklist plan, you can view planned checklists for upcoming periods. In the checklist history, you can view completed checklists.
Work orders
The Work orders module is the combined work queue. A work order is not a separate record type — it is the unified list of work requests, inspections, and checklists assigned to a technician or team. Open it to see everything assigned to a person in one place, without switching between Work requests and Preventive maintenance.
The same module also holds organizations and their departments, technicians and teams, and SLA contracts. SLA contracts define work rules for assigning work requests, inspections, and checklists to teams and technicians, including required response times and the maximum time to resolve an issue.
Maps
The Maps module displays inserted drawings on a map. You can use it to visualize a building by floors and spaces and add the location of individual assets. If there is a defect, you can locate the asset directly on the map.
Analytics & reports
The Analytics & reports module displays maintenance reports and analyses. The following reports and analyses are available:
- Inspection status
- Asset maintenance status
- Work request summary
- Maintenance costs
- Checklist
- Response history
Documents
The Documents module contains all documents assigned to individual entities, such as buildings, spaces, work requests, inspections, and checklists. You can also record documents that are not yet assigned in the module. Individual documents can be organized into folders.
Settings
Application settings let you adjust parameters for planning inspections, manage users, and configure the application environment.
